Booking and Payment

A 10% deposit is required to reserve your place on any of the above events.
The deposit is fully refundable if you cancel within 10 days of paying the deposit. After 10 days, it becomes non-refundable, except where the organisers cancel the event.
Full payment is due by 9 March 2027.
Bookings made after this date require payment in full at the time of booking.
Both the pre trip include transfers, bike hire, guides, support, meals , accomodation and entries to events. Full details of each event and inclusions can be found on the respective itinerary pages.

Wise generally offers competitive exchange rates and low fees and can be used for international currency transfers.
Cancellation and Refunds
The 10% booking deposit is refundable for ten days after its paid.
More than 60 days before departure:
Any amount paid above the 10% booking deposit will be refunded, less any unrecoverable costs already incurred on the traveller’s behalf.
Between 14 and 60 days before departure:
50% of the total tour price will be refunded.
Less than 14 days before departure:
No refund will normally be available unless a replacement participant can be found.
Where a traveller is unable to attend, The Festival organisers will make reasonable efforts to allow the booking to be transferred to another suitable participant.
Cancellation by the Organisers
BikeAways and Bike Asia reserve the right to cancel a departure if minimum participant numbers are not reached, or where circumstances beyond their reasonable control make it unsafe or impractical to operate the trip.
If the organisers cancel a trip before departure, travellers will receive a full refund of tour payments made, unless an alternative arrangement is mutually agreed.
The organisers are not responsible for costs associated with independent travel arrangements, including train or air tickets, accommodation or other services booked separately by the traveller.
Travellers are encouraged to use flexible or refundable travel arrangements where practical and maintain appropriate travel insurance.
Booking Conditions
Helmets
A bicycle helmet must be worn by all cyclists while riding on the tour.
Itineraries
BikeAways and Bike Asia reserve the right to change advertised itineraries before or during the tour where necessary in the interests of safety, health, local conditions, transport changes, weather or other circumstances beyond their reasonable control.
The tour leaders and guides have the right to make necessary changes for these reasons.
Participants are expected to follow reasonable instructions from tour leaders and support staff.
Insurance
Each traveller must obtain and maintain comprehensive travel insurance for the duration of the trip.
This insurance must cover cycling activities, overseas medical and hospital expenses, and emergency evacuation or repatriation where necessary.
Travellers are responsible for ensuring their insurance is appropriate for the trip.
Health and Fitness
The pre-ride includes several substantial climbs and mountain descents.
Participants should have a reasonable level of cycling fitness and be comfortable riding on hilly terrain.
A support vehicle will be available during the cycling tour.
Travellers should advise BikeAways before departure of any medical condition, medication, allergy, injury or other circumstance that could materially affect their ability to participate safely.
Bicycles and Equipment
Bicycle hire is included in the tour price.
The organisers are responsible for normal wear and tear and mechanical issues arising through normal use.
Travellers may be responsible for loss or damage to bicycles or equipment resulting from negligence, misuse or failure to follow reasonable instructions.
Personal Responsibility and Risk
Cycling tours involve inherent risks, including traffic conditions, road surfaces, weather, remoteness, mechanical issues, rider error and limited access to medical assistance in some areas.
Each traveller is responsible for assessing their fitness, skill level and ability to participate safely.
By booking and joining the trip, travellers acknowledge the nature of this style of travel and accept the personal risks involved.
Travellers agree to ride responsibly, comply with local laws and follow reasonable instructions from tour leaders, guides and support staff.
Nothing in these conditions excludes liability that cannot lawfully be excluded.
Acceptance of Conditions
Payment of the booking deposit or full tour price confirms that the traveller has read, understood and agreed to these booking conditions.
